Rooms and Tables

Please consult the Clubs Manual (coming soon) for proper room booking procedures.

If the request is not submitted to the Clubs Coordinator and/or the contract and deposits are not handed to the SFUO, your request will not be processed.

Clubs are eligible for 10 tables per semester, free of charge. The use of these tables is confined to the University Centre.

Room bookings in the University Centre are unlimited and free for Clubs, except for the Alumni Auditorium and Technical Services.

Clubs are eligible for 15 rooms outside of the University Centre per semester, free of charge. Please note that only the room space is provided in the booking; therefore any reservations and remunerations of multimedia or other services and equipment are the responsibility of the Clubs.
Multimedia equipment can be reserved through Multimedia Services at MRT 014. For more information please contact Multimedia Services at 613-562-5900. Clubs may request a subsidy to cover the costs of multimedia equipment bookings.

The following is a list of lecture halls where Clubs and Societies can rent fully equipped multimedia podiums:

  • LMX 122 is a lecture hall with a capacity of 122 people
  • SCS E217 is a lecture hall with a capacity of 77 people
  • DMS 1160 is a lecture hall with a capacity of 200 people
  • SITE A0150 is a lecture hall with a capacity of 124 people
  • CBY C03 is a lecture hall with a capacity of 210 people
  • MNT 202 and 203 are lecture halls with a capacity of 244 people each
  • MRN AUD is a lecture hall with a capacity of 420 people

These rooms are available all week long during the fall and winter semesters, free of charge.

Clubs must place a $20 deposit at the time of signing the Multimedia Room’s contract and picking up the multimedia equipment access card at the Clubs Coordinator’s Office (UCU 030A, located in the Clubs Room).

Requests for room bookings must be submitted at least 8 business days prior to the proposed event. If the request is not submitted 8 business days in advance, then the room booking cannot be guaranteed.

Requests for table bookings must be submitted at least 8 business days prior to the proposed event. If the request is not submitted 8 business days in advance, then it will not be approved.

The Clubs should receive an answer or response from the respective booking department within 5 business days, unless there are any complications.

Please fill out all sections with specific information to prevent delays and ensure timely responses.

TV/VCR/DVD Player, in Clubs Room

Clubs have access to the Clubs Room for many purposes, one being the usage of the TV with VCR and DVD Players. Clubs that wish to book the TV and VCR/DVD player also need to book the Clubs Room. To book this room, one needs to sign-up in the Clubs Room Binder, which is found in the Clubs Room.

Clubs need to fill out the request form and hand in a printed copy to the SFUO Office (UCU 07).

Clubs must place a $10 deposit at the time you hand in the request form; otherwise the request will not be accepted.

The deposit can be picked up at the SFUO Office within 5 business days following the day of the event, given that there are no damages to the Clubs Rooms, TV and VCR/DVD players.
